Position Overview

We are seeking a highly organized and detail-oriented Business Operations & Accounting Manager to support our financial operations, HR functions, and office administration. They will report to the SVP Manufacturing & Operations and play a critical role in ensuring the smooth operation of our company by managing day-to-day accounting and general office management. This is a hands-on role that requires a proactive, self-motivated individual who thrives in a fast-paced startup environment. The position is on-site in our Chicago, Illinois, office. 

Key Responsibilities

Financial & Accounting

  • Manage day-to-day accounting operations, including bookkeeping, accounts payable (AP), and accounts receivable (AR). 

  • Execute an accurate and timely month-end close process, including account reconciliations and adjustments.  

  • Prepare and review monthly, quarterly, and annual financial statements for management review, and conduct variance analyses to explain differences between actual and budgeted performance. 

  • Maintain responsibility for the general ledger and fixed asset ledger. 

  • Work with external accountants for tax preparation and compliance. 

  • Assist in budgeting, forecasting, and financial planning to provide financial insights for decision-making. 

  • Manage and update internal controls and company financial policies as needed; and ensure compliance with regulatory requirements. 

Human Resources & Payroll

  • Execute processing of biweekly payroll, ensuring compliance with federal, state, and local regulations. 

  • Oversee employee benefits administration, including health insurance and retirement plans, and maintain relationships with benefits vendors.  

  • Reconcile payroll accounts and ensure accurate financial reporting. 

  • Ensure and maintain appropriate state registrations for local and remote employees. s

Office Management & Administration

  • Oversee general office operations, including ordering supplies, maintaining office equipment, and ensuring a well-functioning workplace. 

  • Ensure employees have adequate computer and software access, and facilitate service/support for IT-related issues. 

  • Serve as the primary liaison with vendors, building management, and service providers. 

  • Develop and maintain office policies and procedures to enhance operational efficiency, ensuring they are up-to-date and effectively communicated to employees.  

  • Ensure the office environment promotes productivity and aligns with the company's culture and values. 

Position Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.  

  • 3+ years of accounting or finance experience, including month-end accounting and financial statements preparation. 

  • Proficiency in accounting software (e.g., QuickBooks), AP automation tools, payroll systems (e.g., Rippling), and Microsoft applications (e.g., Excel). 

  • Strong knowledge of financial principles, payroll processing, and HR best practices. 

  • Excellent organizational, problem-solving, and multitasking skills. 

  • Ability to thrive in a dynamic, fast-paced startup environment and work both independently and collaboratively.  

  • Experience in a startup, biotech, or life sciences company is a plus.

Compensation

$100,000-$130,000 base salary, depending on years of experience, plus bonus potential and option grants
